The CRM tells you what is happening with your customers. The ERP tells you what is happening inside: how much you have, how much you bought, how much sold today and why the till does not balance.
In short
A ERP is the system that runs a company's internal operation — inventory, purchasing, suppliers, warehouses and point of sale — as opposed to the CRM, which runs the customer relationship. IstmoDigital builds an ERP in Panama integrated with its own CRM, switched on module by module: you turn on only what you need and add the rest when the business asks for it. It includes a point of sale with shifts, cash counts, a supervisor code per register and an inventory audit trail, designed for Panamanian SMEs with one or several branches.
Stock by warehouse and by branch, with every movement traced: who adjusted what quantity, when and why. Without an audit trail, inventory is an opinion.
Purchase orders, goods receipt and accounts payable. Miscounted deliveries are one of the biggest sources of shrinkage in Panama.
Sales with sequential numbering, shifts with open and close, cash counts and a supervisor code per register for voids. The receipt carries the business's tax details.
Transfers between warehouses and control by branch, with different permissions for each register.
The browser can only read: every point-of-sale write goes through the server. An employee cannot alter a sale from the console.
Inventory, purchasing, point of sale, support and CRM are switched on separately. You do not pay for what you do not use, nor train your team on screens they will never open.
The honest answer is that plenty of Panamanian companies run fine on spreadsheets for years, and switching too early only adds work. The signs that you have outgrown them are concrete:
If you recognise three or more, the cost of not having a system is already higher than the cost of having one. And if you recognise none, we will say it anyway: wait. Implementing an ERP in an operation that does not need one yet is the most common way to spend money on software nobody opens.
In most companies the salesperson promises a delivery without knowing whether the stock exists, and the warehouse manager finds out about the order once it is already committed. That happens because the sales system and the inventory system are two different programs that sync once a day, or never.
When the CRM and the ERP are the same system, the quote sees inventory in the moment, the sale deducts stock on its own, and the customer history includes what they bought, not just who they spoke to. It is the difference between knowing and assuming.
It is also why our AI agents can genuinely answer: when a customer asks on WhatsApp whether something is available, the agent checks the same inventory the salesperson sees, instead of replying with a generality.
This is where most ERP projects in Panama get stuck after signing, so we will say it plainly: IstmoDigital is not a PAC (a Qualified Authorised Provider registered with the Directorate General of Revenue) and does not claim to be one. Issuing with a CUFE through the SFEP requires its own certification and registration, and any software supplier hinting that "they handle electronic invoicing" without naming the PAC they work with is oversimplifying.
The point of sale prints a receipt with the business's tax details on it, and that receipt states explicitly that it is not a fiscal invoice, precisely so that nobody confuses it. Connecting to a PAC is the next step we are working on, and when it is ready it will be announced with the provider's name alongside it.
If your number one priority today is issuing documents with a CUFE, the honest advice is to start by contracting a PAC. If your problem is not knowing what you have in stock or why the till does not balance, that is where we start. The details of the obligation are in this page on electronic invoicing in Panama.
An ERP that is switched on all at once on a Monday is an ERP that gets switched off on Tuesday. The order that works is module by module, starting where it hurts most:
The initial physical count is non-negotiable. Loading inventory from a spreadsheet that was already wrong guarantees the new system inherits the error and that in three months someone concludes "the system does not work".
